AI tools / ChatGPT for business

ChatGPT in your business, without shadow IT

ChatGPT is the best-known AI tool in the world. In most SMEs half the team already uses it, just via personal accounts. We make it work inside your business: the right licence, clear use cases, trained people, no customer data in a personal environment.

Licences

ChatGPT Business, Enterprise or API: which fits when

OpenAI offers three business flavours. Most SMEs are fine on Business. Enterprise only becomes relevant at real scale or with strict compliance requirements. The API is for when you want to build AI into your own tools.

ChatGPT Business

€18 per user / month (annual), €22 monthly

Teams of 2+ people who want to start fast without an IT project.

A workspace for your team, your data isn't used for training, an admin console, GPTs shared within the company. Renamed from ChatGPT Team to ChatGPT Business in August 2025. For most SMEs the right place to start.

ChatGPT Enterprise

On request, indicatively €53–€89+ per user / month

Organisations that need SSO, audit logs and SLAs.

Unlimited faster models, SAML SSO, domain verification, longer context, custom data retention. Only relevant at 150+ seats or with strict compliance requirements.

ChatGPT API

Pay-as-you-go per token

When you want to build AI into your own apps, websites or automations.

No chat interface but an API we integrate into your existing tools. The basis for an AI colleague inside your own software, Outlook, CRM or customer portal.

Prices converted from USD (rate ~0.89), see openai.com/pricing for current rates. OpenAI adjusts pricing regularly.

Honest overview

Strengths and weaknesses

We don’t sell ChatGPT. We advise what fits. Below is why ChatGPT is often a good choice, and what to watch out for.

Strengths

  • By far the most mature ecosystem and the most integrations
  • A good balance of performance and price on the Business licence
  • Custom GPTs and projects you easily share within the company
  • Quick to roll out without your own IT infrastructure

What to watch out for

  • Without governance, shadow IT appears fast: staff paste customer data into personal accounts
  • GPTs and projects sprawl into a mess of variants without agreements
  • A strongly American vendor: partly relevant to your GDPR and NIS2 position
  • API costs add up if you process large documents or high volume

Common mistakes

Four ways to make a ChatGPT rollout stall

We see the same mistakes recur with every self-rollout. Not because the tool is bad, but because the approach is missing.

Keep using personal accounts

Staff carry on with their free account and share customer data with an environment outside your control. This is the most common start of a data breach.

Hand out licences without onboarding

A seat without use cases is a seat that goes unused. After three months someone cancels and it only costs money.

Build GPTs without an owner

Five staff create five quote GPTs. No one knows which has the current prompts and sources. We assign one owner per use case.

No connection to existing data

ChatGPT without access to your CRM, email or admin stays a chat screen. Only with integration does it become a colleague.

Use cases by role

Where ChatGPT delivers right away in an SME

Sales

First-draft quotes, email follow-up, customer research before a call, summarising meeting notes.

Marketing

First-draft blogs, social posts, email campaigns, persona checks on landing pages.

Customer service

First-line email handling, decision trees, knowledge-base search in plain language.

Operations and finance

Explaining Excel in words, invoice checks, contract analysis, policy and procedure drafts.

Leadership

Sparring on strategy, summarising board documents, draft memos, scenario comparisons.

The mAIxs approach

How we put ChatGPT to work in your business

Not a workshop and then gone. We stay on the line until it’s part of your workday and your team opens it on its own.

  1. 01

    AI literacy first

We start with a short training. What may and may not go into ChatGPT, how to write a good prompt, what the licence means for data. Without this foundation every rollout stays shallow.

  2. 02

Three to five concrete use cases

We pick three to five processes with you where ChatGPT pays off right away. Not all staff at once, but one team that makes it succeed.

  3. 03

    Prompts, GPTs and governance

We build the prompts and custom GPTs, assign ownership and set up a simple prompt register. One place where the current versions live.

  4. 04

    Embedding and expansion

Monthly review, new use cases added, integration with your CRM or email where the return is demonstrable. With the mAIxs subscription it keeps running.

Cost indication

What does rolling out ChatGPT cost

Licences

ChatGPT Business €18 per employee per month (annual), €22 monthly. For a team of ten that’s around €180–€220 per month. Enterprise is on request and only relevant from about 150 seats. Prices converted from USD, see openai.com/pricing for current rates.

Implementation via mAIxs

A one-off fixed-price sprint for onboarding, the first use cases and governance. Ongoing expansion via the mAIxs subscription, cancellable monthly. Ask for current rates during an introduction.

Frequently asked questions

ChatGPT for business, answered briefly

Can ChatGPT work with customer data?+

On ChatGPT Business and Enterprise your data is not used for training by default and you can set data-retention yourself. For special categories of personal data (medical, legal, national ID) and for data under NIS2 we recommend an additional risk assessment. For heavily regulated data, a hybrid with local AI is often wiser.

What's the difference between ChatGPT and Microsoft Copilot?+

ChatGPT is a separate working environment. Copilot lives in your Microsoft 365 (Outlook, Word, Excel, Teams). ChatGPT is generally more powerful and flexible for one-off tasks. Copilot wins once you work a lot in M365 and the context is already there. Many clients use both. Our Copilot page explains the difference.

What's a reasonable starting price for ChatGPT in an SME?+

For a team of ten, expect €180–€220 per month in ChatGPT Business licences (€18/user/month annual, €22 monthly), plus a one-off fixed-price sprint to set up governance and the first use cases. After that you can maintain it yourself or expand structurally via our subscription. Ask for current rates during an introduction.

Do we really need ChatGPT Enterprise?+

For most SMEs ChatGPT Business is enough. Enterprise becomes relevant once you require SSO via your identity provider, need audit logs for compliance, or have more than about 150 seats. Below that threshold you pay for features you don't use.

How do you prevent shadow IT when introducing ChatGPT?+

By making clear what the company account can do that the personal one can't. One environment where use cases, GPTs and prompts live. A short training that explains the rules. And above all: make it faster than the workarounds. The moment the company account is more cumbersome than the personal one, people fall back to shadow IT.
